For each line, record the full model name, model year, configuration, powertrain, exterior and interior choices, required options and quantity. Add a priority field: essential, preferred or flexible. A model photograph is not a configuration code. If an option is required on every vehicle, repeat it on each relevant line rather than assuming a general note will be applied to the whole batch.
Agree substitutions before sourcing
Specify what may change if the original combination cannot be sourced. You might accept another exterior colour while retaining the trim, or prefer a smaller confirmed batch over a different version. These are commercial choices for the buyer, not automatic supplier decisions. Ask for written approval before any change in model year, powertrain, equipment or vehicle condition, even when the proposed alternative looks similar in photographs.
Coordinate readiness without promising one date
Different vehicles may follow different procurement and preparation paths. Discuss whether the order should move together or whether partial readiness can be considered. Ask how an incomplete line affects the remaining vehicles, documentation and shipping plan. A single enquiry does not make every requested configuration immediately available. The practical schedule is built from verified sourcing options and agreed milestones rather than a fixed website delivery claim.
Prepare a clear receiving record
As vehicles are identified, link each VIN to its approved order line and supporting photographs. Keep options, colours, keys, cables or other agreed accessories visible in the receiving checklist. For hybrids and electric models, confirm any transport information requested by the selected logistics provider. A structured order file helps your team check the arriving batch and build accurate customer offers without treating one inspected sample as evidence for every vehicle.
