Describe the transaction accurately

Record the buyer and consignee, destination, model, configuration, quantity and whether the vehicles are new or used. Confirm how the status is understood for the relevant export and import process rather than relying on a marketing label. When vehicle identities are available, use the VIN consistently across the order record and document review. A small mismatch in names or identifying numbers can create work at handover.

Separate export records from local approvals

Discuss which commercial, vehicle, export and transport records will be supplied for the transaction. Separately ask your local adviser what is needed for customs clearance, conformity assessment and registration at destination. The availability of an export document does not establish that local approval has been completed. Avoid assuming that a certificate, translation or vehicle modification is included unless it is specifically named in the agreed scope.

Review drafts before dispatch

Where draft records are available, check vehicle identifiers, buyer details, quantities, descriptions and the named destination before dispatch. Agree who approves amendments and how originals or electronic copies will be handed over. For a mixed-model shipment, confirm that the supporting record distinguishes each vehicle type. Keep inspection photographs and the approved specification alongside the commercial documents so your receiving team has one coherent order file.

Resolve exceptions early

Tell us about age restrictions, steering position, emissions, charging or language requirements identified for your destination. We assess the requested sourcing and export arrangements against the proposed vehicles; we do not infer eligibility from a model page. If a requirement remains unresolved, record it as open rather than treating it as approved. A written checklist makes the next commercial discussion more useful and reduces avoidable assumptions on both sides.
